Before Tax Season: 7 Technology Checks Every Accounting Firm Should Make

Tax season is the worst time to find out the scanner stopped talking to your tax software, a laptop won't take its update, or someone can't get past the sign-in screen. A few hours in November saves a lot of stress in February. Here's the checklist we walk through with accounting and tax offices.

The 7 checks

  1. Tax software is renewed and up to date. Confirm your licenses are paid for the new season, install the latest version on every computer that runs it, and make sure the server or hosted service behind it is current.

  2. Every computer is ready for the crunch. Windows and drivers updated, plenty of free disk space, and no machine still running an operating system that no longer gets security updates. (If you still have Windows 10 PCs, here's what to do.)

  3. Multi-factor sign-in is on everywhere. Professional tax software now requires it, and the FTC Safeguards Rule expects it for anyone who can reach client data. Don't forget email, remote access and your document portal.

  4. Your written security plan is current. The FTC Safeguards Rule requires tax preparers to keep a Written Information Security Plan (WISP). The IRS offers a free template in Publication 5708. Review it once a year and update it for new staff, software and equipment.

  5. Backups are tested, not just running. Restore one real client file from last week's backup and make sure it opens. Our 5-minute backup check walks you through it.

  6. Seasonal staff are set up the right way. Give each person their own account with only the access they need, turn on multi-factor sign-in, and put a reminder on the calendar to remove their access when the season ends.

  7. Scanners, printers and internet are tested. Run a test scan straight into your tax or document software, keep spare toner on hand, and know who to call (and what your backup plan is) if the internet goes down on a busy day.
