Flat-Rate IT Support vs. Paying by the Hour: What's Right for Your Small Office?
If your office has 5 to 25 people and no in-house IT person, you've probably asked this: should we pay someone by the hour when something breaks, or pay a flat monthly fee for ongoing support?
There's no single right answer. But for most small offices in the Northwest Suburbs, the hidden costs of the hourly model add up faster than people expect. Here's how each option works, what it really costs, and how to tell which one fits your business.
Break-fix: paying by the hour
With break-fix IT, you call a technician when something goes wrong and pay for the hours it takes to fix it. Nothing is billed when things are working.
Where it works well
Very small offices (1 to 3 people) with simple setups
Businesses that rarely have problems and can tolerate some downtime
One-off projects, like setting up a new printer or moving a desk
Where it falls short
Unpredictable bills. A quiet month costs nothing; a bad month can cost more than a year of flat-rate support.
Nobody is watching. Updates, backups and security alerts only get looked at when someone calls. Problems grow until they break something.
Slower fixes. A technician who sees your network twice a year has to relearn it every visit, and you pay for that time.
Mixed incentives. The provider earns more when things break. That isn't a knock on anyone's honesty; it's just how the model is built.
Flat-rate managed IT: one monthly price
With managed IT, you pay a fixed monthly fee, usually per user, and your provider takes care of your systems on an ongoing basis. Help desk calls, monitoring, updates, backups and security are covered by that fee.
Why most growing offices switch
Predictable cost. You know your IT bill before the month starts, so it fits in a budget.
Problems caught early. Computers and servers are monitored around the clock, and patches go out on schedule instead of after something breaks.
Security handled. Antivirus, multi-factor sign-in, email filtering and tested backups are set up and kept current, which matters more every year as small businesses become ransomware targets.
Someone who knows your setup. When you call, the person answering already knows your network, your software and your people.
Aligned incentives. The provider does best when nothing breaks, so prevention is the whole job.
The trade-off
You pay every month, even in months when nothing goes wrong. For a 2-person office with one laptop each, that may be more than you need.
Side by side
| Break-fix (hourly) | Flat-rate managed IT | |
|---|---|---|
| Monthly cost | Varies; $0 to very high | Fixed, per user |
| Budgeting | Hard to predict | Easy to plan |
| Monitoring & updates | Only when you call | Ongoing, automatic |
| Security & backups | Up to you | Included and maintained |
| Response | When a tech is free | Priority for clients |
| Knows your systems | Rarely | Always |
| Best for | 1 to 3 people, simple needs | 5+ people who rely on their tech daily |
Which one is right for you?
Ask yourself these four questions. If you answer "yes" to two or more, flat-rate managed IT will almost always save you money and headaches.
Do you have 5 or more people using computers every day?
Would a day without email, files or your practice software cost you real money?
Do you handle client data you're responsible for protecting, like legal, financial or health records?
Has an IT bill ever surprised you, or has a problem ever been "fixed" only to come back?
If you answered "no" to all four, paying by the hour is probably fine for now. Revisit it when you hire or when a problem costs you a day.
